Signs Data Is Blocking Your Mission
"How Many People Did We Serve?" Has Three Answers
Programs says 1,240. The database says 1,580. Last year's grant report says 1,100. Everyone is a little bit right, and nobody wants to be the one to pick.
All Your Data Knowledge Sits in One Person
There's someone who knows which spreadsheet is the real one and why the numbers look odd in March. When they go on leave or move on, the reports quietly stop making sense.
You Can't Hire Your Way Out of It
A senior data engineer costs more than most program directors, and the job isn't full-time anyway. So it lands on whoever is "good with Excel," on top of their actual job.
If any of these sound like your last month, the problem isn't your mission. It's the plumbing underneath it.

Frequently Asked Questions About Data for Nonprofits
Is data really the gap keeping our nonprofit from scaling?
Often, yes. Nonprofits that hit a growth ceiling usually have the mission, the revenue mix, and the program model. What they're missing is what any scaling business needs: one view of revenue, cost per program, and performance trends. If every board update takes days of manual reconciliation, that's a capacity tax on everyone from the ED down, and it caps how fast you can grow.
We're not purely grant-funded. We have earned revenue and contracts. Does this still apply?
Yes, this is most of the nonprofits we work with. Fee-for-service programs, government contracts, membership dues, social enterprise revenue: the data problem is the same whether the money comes from a grant or a customer. Revenue and program data sit in separate systems that don't reconcile, so you run the organization without a real P&L. We connect all of it, not just the grant side.
We can't afford a full-time data engineer. What are our options?
You likely don't need one. A full-time senior data engineer runs $200,000+ loaded, and most nonprofits don't generate enough ongoing data work to justify it. Fractional data engineering gets you the same senior expertise for a defined number of hours: 2 to 4 months to build the foundation, then a few hours a week to maintain it.
What systems do you typically connect for a nonprofit?
It depends on how you're funded and run. Commonly: a CRM (Salesforce, HubSpot, Bloomerang), a financial system (QuickBooks, Xero, Sage Intacct), program or case management tools, payroll/HR, and any earned-revenue systems like a POS, membership platform, or government contract tracker. We bring those into a single warehouse so your board numbers, funder reports, and program economics all come from the same place.
Have you worked with nonprofits before?
Yes. Our team has direct experience with nonprofit organizations, including multinational ones, so we already understand multi-funding-stream reporting, multi-country program structures, and the compliance questions that come with grants and contracts. We're not learning the nonprofit world for the first time on your dime.
Can this help with donor and member retention, not just reporting?
Yes, and it's often the bigger win. Retention, whether it's a lapsing donor, a member who didn't renew, or a funder reconsidering a contract, depends on noticing the pattern before it's a lost relationship. That requires your CRM, billing, and engagement history to agree on one view of each relationship. Once that's connected, retention segments and alerts come from the same data you're already using for board reporting, not a separate project.
What does this cost, and how long does setup take?
Initial setup, connecting your systems, building the warehouse, automating reports, typically takes 8 to 12 weeks depending on how many sources you have. After that, maintenance runs a few hours a week. We'll give you an exact scope and price after a free call to look at your current systems.
